Senior Office Administrator | Executive Support | Full-Time
We are seeking an experienced and highly capable Office Administrator to act as the central hub of our business, supporting the CEO and ensuring smooth day‐time operations across the team.
This is a hands‐on role suited to someone from an established business environment who thrives on organisation, accountability, and getting things done. The position also functions as Executive Assistant to the CEO, coordinating priorities, managing workflow, and maintaining operational momentum.
You will play a key role in supporting and protecting the CEO and company directors by ensuring time is prioritised effectively, workflows stay on track, and the business runs efficiently.
This role requires full‐day coverage (8:00 am – 5:00 pm) to support operational flow and executive priorities. We maintain a professional, positive, and results‐focused environment where accountability, focus, and respect for others are essential.
Key Responsibilities
Executive & Office Coordination
Provide high‐level administrative and executive support to the CEO
Manage calendars, communications, and competing priorities
Coordinate and facilitate leadership and team meetings, including agendas and follow‐ups
Act as a gatekeeper to manage access to the CEO and protect business priorities
Finance & Administration
Manage bookkeeping, reconciliations, and accounts payable/receivable
Proficiency in MYOB EXO bookkeeping software is ideal for this position
Oversee payroll processing (ADP), ensuring accuracy and timeliness
Monitor cash flow and report risks or shortfalls to the CEO
Coordinate compliance documentation and key deadlines
Team & Operational Support
Act as a central coordination point across departments
Supervise and support a part‐time receptionist and offshore admin support
Maintain efficient office operations, systems coordination (MYOB Exo), and workflow management
Reception & Customer Service
Act as a professional point of contact for incoming enquiries and visitors
Maintain a well‐organised, efficient, and professional front‐of‐house environment
About You
You are an experienced administrator who is confident, organised, and comfortable working in a structured, fast‐paced environment.
You will bring:
Proven experience in administration, bookkeeping, and payroll
A minimum of 2‐3 years of experience in the above is ideal
Experience supporting senior leaders or business owners
A minimum of 2‐3 years of executive support experience is ideal
Strong organisational skills and ability to stay focused and deliver tasks to completion
A proactive, \"get things done\" approach
A positive, friendly, and professional manner
Ability to take on feedback and continuously improve
Strong judgement, discretion, and ability to maintain professional boundaries
This role is suited to an experienced candidate who can operate with confidence and accountability in a structured environment. It is not an entry‐level position.
Role Structure & Expectations
Reports directly to the CEO
Works closely with company directors
Supervises a small admin function (reception + offshore support)
This role is focused on coordination, execution, and support. All financial approvals, hiring decisions, and key operational authority remain with the CEO and company directors.
