Senior, high-trust PA role supporting a Director
We are seeking a highly experienced Executive Assistant to provide comprehensive executive and personal support to a Director. This is a pivotal, high-trust role requiring exceptional judgment, adaptability, and absolute discretion. This position is best suited to someone with proven experience supporting senior executives or Directors. The Director operates at pace and values clarity, initiative, and a tailored communication style. This role is best suited to candidates with established Executive Assistant capability who can operate confidently and autonomously. Approximately 70% of this role involves personal and lifestyle support, with the remaining scope focused on executive responsibilities.
The Role
You will act as a trusted extension of the director, managing both professional and personal matters with confidence and discretion. You will be required to think ahead, anticipate needs, and operate effectively in uncertainty, often across multiple parallel workstreams. This role requires emotional intelligence, strong boundaries, and the ability to navigate complex stakeholder relationships with sensitivity and professionalism.
Key Responsibilities
Executive & Administrative Support
Managing highly complex calendars, appointments, and priorities
Handling emails, calls, and correspondence on behalf of the Director
Preparing reports, presentations, briefing notes, and executive packs
Maintaining accurate digital and physical records
Coordinating domestic and international travel, including itineraries, visas, and logistics
Board & Meeting Support
Preparing, collating, and distributing board and meeting papers
Scheduling board, committee, and executive meetings
Preparing meeting packs and pre-reads
Taking minutes and tracking actions and decisions
Following up on action items and deadlines
Personal & Lifestyle Support (Approx. 70%)
Managing personal administration and day-to-day priorities
Coordinating household schedules, services, and appointments
Running errands and managing personal tasks efficiently
Organising personal events, engagements, and reservations
Maintaining detailed personal to-do lists and priorities
Communication & Stakeholder Management
Acting as a gatekeeper for calls, requests, and information
Liaising with board members, executives, clients, and external stakeholders
Managing information flow ahead of key meetings
Ensuring timely communication and proactive follow-ups
Financial & Records Support
Tracking expenses and maintaining accurate records
Assisting with bill payments and reconciliations
Research, Planning & Anticipation
Conducting research to support executive decision-making
Planning travel, events, and schedules with efficiency and foresight
Anticipating needs and proactively resolving issues before they escalated
Confidentiality & Judgment
Handling highly sensitive and confidential information
Exercising discretion at all times, including in complex situations
Supporting governance and compliance requirements
Demonstrating sound judgment when managing access to information and people
About You
You will bring:
Demonstrated experience as a Personal or Executive Assistant to a Director or senior executive
Comfort operating in fast‑paced environment
Exceptional organisational and prioritisation skills
Strong interpersonal skills and emotional intelligence
A proactive mindset with the ability to anticipate needs
Flexibility and adaptability Confidence engaging with senior leaders, board members, and high‑level stakeholders
A strong understanding of confidentiality, discretion, and professional boundaries
